Onboarding to SpartanX is designed to be quick and self-guided. An administrator invites you by email, you set your password, and within a couple of minutes you are inside your workspace. This article walks through what to expect at each stage and explains how to recover if your onboarding link expires before you have a chance to use it.
Receive your onboarding email
Your onboarding starts with an invitation. SpartanX can be configured to onboard a single user or several colleagues at once, so an administrator simply provides one or more email addresses, and each recipient receives a personalized onboarding email.
When the email arrives, open it and click the activation link inside. The link opens in your browser and is the entry point to creating your SpartanX account.
Set your password
After clicking the activation link, you are taken to a page where you create a new password for your account. SpartanX enforces standard password requirements, which are displayed on the page so you can confirm that your password is strong enough as you type.
Once your password meets the requirements, save it. Your account is now fully activated, and you are redirected to the SpartanX sign-in page.
Sign in for the first time
On the SpartanX sign-in page, click Get started and enter your email address followed by the password you just created. After you continue, SpartanX signs you in and brings you to your workspace.
Ensure you the same exact email address as before β it must match the one your administrator used in the invitation.
Complete your workspace setup
The first time you reach your workspace, SpartanX asks for a small amount of information so your account is ready to use. Provide your name, review and accept the terms and conditions, and complete the setup.
That is the entire onboarding process. From here, you land in the SpartanX portal and can begin working immediately.
If your onboarding link has expired
For security reasons, the link in your onboarding email has an expiry. If too much time passes before you click it, the page will show that the onboarding link is expired. This is expected behavior, not an error with your invitation.
Your user account has already been created when the invitation was sent, so you do not need a new invitation. Instead, go to www.spartanx.ai, click login, and use the standard password reset flow to receive a fresh activation link:
Open the SpartanX sign-in page and choose the password reset option. Enter the same email address that received the original onboarding email, then continue.
SpartanX sends a password reset email to that address. Open it, follow the link, and set your password as you would have on the original onboarding email. The reset email functions as a fresh onboarding link, so you can complete activation even if the original invitation has expired.

Tips for a smooth onboarding
Activate your account soon after the email arrives so you do not run into the link expiry. If you are onboarding alongside colleagues, agree on a short window during which everyone activates their accounts β this avoids the back-and-forth of administrators having to re-issue invitations.
If anything looks unexpected during onboarding β a link that does not open, a password that is rejected even though it appears to meet the requirements, or an email that never arrives β the password reset flow is almost always the fastest way to get unstuck. Because your user account is created at the moment the invitation is sent, the reset path works whether or not you ever clicked the original link.
